How do I prevent receiving multiple copies of the same email message?

There are only 2 possible causes of an e-mail client receiving multiple copies of a message that was sent only once by a sender:

I. The most common cause of multiple e-mails is configuring your POP client (eg. Outlook, Outlook Express) to leave copies of your e-mail on the mail server.

Every time your e-mail program checks for new messages it makes a connection to your mail server and has look at what is there and compares it to what you already have on your computer. After it does this, it is supposed to download only the new messages. However, if the mail headers stored on your computer become malformed or corrupt your mail program does not know you already have the message and downloads it again.

Before checking your email via your POP client, log into your e-mail using Netfirms webmail (http://webmail.netfirms.com). If you only see one copy of the message in Web mail but you see multiple copies in your e-mail program you can be sure that the problem is with your mail program.

The quick fix for this is to change the setting that causes your mail program to leave a copy of mail on the server.

In Outlook 2003:
 
1. Selecting Tools
2. Click E-mail Accounts
3. Choose "View or change existing e-mail accounts"
4. Click Next
5. Highlight the entry for your mail account
6. Select Change
7. Click More Settings
8. Under the Advanced tab there is a check box next to Leave a copy of messages on the server. If you uncheck it
9. Click OK
10. Click Next
11. Click Finish

The next time you check mail your messages will be removed from the server and each time you check mail you will pull down the new messages only once.

II. The other reason for recipients to receive multiple copies of the same email message is if the recipient mail server does not respond quickly enough to the sender server. As such the recipient server attempts to resend the e-mail message at intervals until the message is accepted by the recipient mail server. At times when a mail server is overloaded or busy it may not accept new messages immediately.
